ENTRY INFORMATION
ELIGIBILITY
Association with the Hunter
The Newcastle Club Foundation Art Prize is open to Australian citizens or residents who have had an association with the Hunter Region of NSW. An association should be significant, such as having lived or worked in the Hunter Region, or visited regularly or over a sustained period. The Hunter Region comprises the following local government areas: Cessnock, Dungog, Lake Macquarie, MidCoast, Maitland, Muswellbrook, Newcastle, Port Stephens, Singleton, and Upper Hunter.
Age
Entrants must be 18 years or over at the closing date for entries of 4 September 2024. Semi-finalists may need to provide identification if requested.
Gender
Artists of any gender may enter.
ARTWORK REQUIREMENTS
Information you need prior to submissions

The Newcastle Club Foundation Art Prize accepts paintings that respond to the published theme, painted during the year of the prize and not previously exhibited.

Art media used may be oil, acrylic or watercolour.

Painting size may be up to but not larger than 150 cm x 100 cm (including the frame), or an equivalent size/area ratio to a maximum of 1.5 square metres.

A painting can consist of multiple parts but they must not exceed these overall size limits.

Artworks must be available for sale. Any works sold prior to the semi-finalists or finalists exhibitions will be ineligible.
HOW TO ENTER
Entries must be made using the online form before midnight on 4 September 2024.

A maximum of two works per artist can be submitted.

A $55 (incl. GST) entry fee shall be paid for each work. Payment is made during the online entry process.

Entry receipts will be provided.

The entry fee is non-refundable and contributes to administration and curation of the exhibition.

Initial judging (selection of semi-finalists) will be conducted online in digital form.

Entry details must be accurate as these cannot be changed once the entry is lodged.

Only artists whose artworks are selected as semi-finalists or finalists will have the opportunity to amend minor entry details of their artwork.
Images of your artwork
It is important that submitted artwork images are of sufficient size and resolution to be easily viewed by the judges. We are looking for one image of the entire work, but up to two additional images can be supplied if desired, for example, a closer detail shot.
Uploaded image(s) should be:

A minimum of 750 pixels on the shortest side

Saved in .jpg or .png format only (not .jpeg)

It is preferred that the file size of each image does not exceeding 2MB however the maximum file size accepted is 15MB. Please note that larger file sizes may significantly slow down the upload of your submission.

The file name must include the artist’s name and title of the work as listed on the entry form e.g.firstname_lastname_titleofwork.jpg.
Communication & privacy
Artists consent to being added to the Newcastle Art Space electronic mailing list for updates and further information on this and subsequent Newcastle Club Foundation Art Prizes, plus other prizes run by Newcastle Art Space. Artists details will not be shared and an unsubscribe link is provided in each email.
INFORMATION FOR SEMI-FINALISTS & FINALISTS
Selection and notification
Semi-finalists selected for final judging and exhibition will be notified by personal email on 13 September 2024. The list of semi-finalists will be posted on social media and on the Newcastle Art Space website in conjunction with the live exhibition after the semi finalists have been notified.
Delivery of works
Semi-finalists’ artworks must be delivered to Newcastle Art Space on 18th and 19th or 20th September and in accordance with the negotiated timetable. Freight costs and all other charges relating to delivery and collection of semi-finalists’ artworks are the sole responsibility of the artist. Artworks will not be accepted unless delivered and returned free of all freight and other charges. Delivery and collection details will be confirmed with all semi-finalists.

Insurance & indemnity
The Newcastle Club Foundation Art Prize and its agents will exercise all due care with the works submitted but will not be responsible for any loss or damage suffered whatsoever to any artwork while in transit or under its control. Each entrant shall indemnify The Newcastle Club Foundation and Newcastle Art Space and its agents against any loss or damage suffered to their artwork whatsoever. Each artist is responsible for their own insurance cover.
Artwork requirements
Semi-finalists’ paintings delivered to Newcastle Art Space must be CLEARLY MARKED on the reverse with the artist’s name, address, contact details, the title of the work, medium, size and the current retail price (including 10% GST) specified on their entry.
All artworks must be available for sale. Artworks sold prior to the exhibition will be ineligible.

Sales & commission
Semi-finalists’ works sold at Newcastle Art Space Gallery will attract a 30% commission on sales, with all proceeds to Newcastle Art Space. Artists note: if you are represented by a sole exhibiting gallery the sales commission will be split.
Photography & reproduction of artwork
All entrants authorise the Newcastle Club Foundation Art Prize and Newcastle Art Space formally and irrevocably, to capture and publish images of their works free of copyright, totally or partly, in all publications (catalogues, folders, posters, slide shows, brochures etc) related to promotion and documentation of this art prize, as well as on the Newcastle Art Space website and social media.

Finalists exhibition & Award Luncheon
Should you be selected as a finalist, your artwork must be available for exhibition from 4th - 13th October 2024 and auction at the Newcastle Club Foundation Art Prize Award Luncheon to be held at the Newcastle Club. Finalists will be asked to put a realistic reserve price on their work prior to the auction. The Newcastle Club Foundation Art Prize commission on all auction sales is 30% (20% to Newcastle Art Space and 10% to Newcastle Club Foundation).
Collection of unsold works
Works not sold during the semi finalists exhibition periods must be collected from Newcastle Art Space during office hours or by arrangement.
Works not sold during the finalists exhibition periods must be collected from Newcastle Club.
Any paintings not collected after the exhibition are liable to be stored at the artist’s expense, and disposed of if not collected within a reasonable timeframe.
